About the role
The Administrative Operations Assistant supports the Administration Officer in delivering day‑to‑day operational administration for Save the Children Kenya. Working at the front desk, the role ensures smooth office functioning, visitor management and adherence to established Standard Operating Procedures.
Key responsibilities
- Manage the front desk and office switchboard, directing calls to the appropriate staff.
- Greet and welcome all visitors, guiding them to the relevant personnel.
- Maintain a tidy and clean front office environment.
- Send and receive mail and parcels, keeping an accurate tracker.
- File and organise front‑desk documents.
- Monitor and replenish stationery and general office supplies.
- Assist the admin team in identifying cost‑effective solutions for kitchen, cleaning, maintenance and other office expenses.
- Support daily and monthly deep‑cleaning activities.
- Oversee general office maintenance and repair works, ensuring standards are met.
- Ensure the office opens and closes on schedule and report any concerns promptly.
- Maintain well‑arranged meeting rooms and support internal meetings.
- Consolidate repair requests each month and follow up on timely completion.
Required profile
- Works under the supervision of the Administration Officer.
- Demonstrates attention to detail in handling mail, documents and office supplies.
- Ability to follow established Standard Operating Procedures.
- Strong communication skills for interacting with visitors and staff.
