Documentation Executive – Export & Customs

About the role

The Documentation Executive will manage all export and customs paperwork for Airflo, ensuring shipments leave Kenya with complete and accurate documentation. This role is critical to maintaining compliance with Kenyan and regional regulations.

Key responsibilities

• Receive, verify and process export and customs documents such as C17, HCD, HAWB, EUR1, COMESA, COO, and other certificates.
• Update and maintain shipment data in CargoWise and related systems.
• Prepare and submit phytosanitary applications via KEPHIS IEICS, verify S‑Numbers, print invoices and coordinate certificate collection.
• Coordinate KEPHIS inspections, address rejections, and liaise with KRA and other stakeholders.
• Arrange prior cargo release at customs sheds and dispatch flight documents to GHAs.
• Manage the Blue Folder cage, ensuring timely return of customer files to farms.
• Process KRA concession fee payments, submit C17 reports and verify GHA invoices for billing.
• Maintain accurate filing for audits, claims and future reference.
• Monitor, escalate and resolve documentation discrepancies and delays.
• Generate daily, weekly and monthly reports and update the Account Management Tool.

Required profile

• Knowledge of export regulations and customs procedures.
• Ability to set priorities and work under pressure.
• Strong attention to detail and good communication skills.
• Diploma in Customs Administration or Freight Logistics.
• Certificates in Air Cargo and Integrated Customs Management System.
• Additional training in commercial or aviation courses (preferably export documentation) is an advantage.
• Minimum O‑Level (KCSE C+).
