HR Hub Intern

About the role

The HR Hub Intern will support the remediation of an audit finding related to missing or incomplete approved Job Descriptions in employee personnel files. Working under the direction of the Head of HR Hub & Total Rewards, the intern will ensure Job Descriptions are reviewed, validated, signed off, and properly filed.

Key responsibilities

• Review assigned Job Descriptions against approved requirements and flag missing or inaccurate information.
• Send validated Job Descriptions through DocuSign for employee and line‑manager sign‑off and track their status.
• Follow up with stakeholders on pending sign‑offs and escalate delays as needed.
• Maintain clear records of actions, outstanding items, and ensure fully signed Job Descriptions are electronically and physically filed.
• Update the JD tracker, reconcile signed JDs with the employee population, and support project progress reporting.
• Handle employee data ethically in line with Britam’s data privacy and governance standards.

Required profile

• Bachelor’s degree in Human Resources or a related business field.
• 2 years of experience handling large volumes of employee documentation is an advantage.
• Progress toward CHRP or IHRM membership is a plus but not required.
• Strong attention to detail and ability to follow up professionally with multiple stakeholders.

Required skills

• Proficiency with MS365 applications (Excel, Outlook, Teams, Forms).
• Experience using DocuSign for electronic signatures.
• Familiarity with HR filing systems such as ImageNow.
