Sales Admin Associate

About the role

The Sales Admin Associate will manage the full administrative lifecycle of vehicle sales, ensuring each transaction is documented, compliant and completed on schedule. Working closely with sales, finance and inspection teams, you will be the main point of contact for buyers and sellers, delivering a smooth end‑to‑end experience.

Key responsibilities

• Manage the end‑to‑end administrative journey from signed agreement to vehicle handover, acting as the primary contact for buyers and sellers.
• Prepare, issue and track all sales documentation using PandaDoc, verify KYC records and maintain audit‑ready customer files.
• Coordinate ownership transfers, logbook collection and vehicle handovers, supporting customers with NTSA/eCitizen processes.
• Initiate and follow up seller payments with Finance, confirm receipt and share transaction confirmations; handle insurance cancellation for sellers and ensure buyers have active coverage.
• Maintain accurate records in the CRM and Sales Admin Master Tracker, provide timely data for reporting and identify process improvements.

Required profile

• Business‑related degree or equivalent experience.
• Minimum 2 years of experience in sales administration, operations, customer support or finance support.
• Excellent communication, strong organisational skills and meticulous attention to detail.
• Previous customer‑service experience is an advantage.

Required skills

• Proficiency with Microsoft Office.
• Proficiency with Google Workspace.
• Experience using CRM tools.
• Experience with PandaDoc or similar document‑management platforms.
• Familiarity with NTSA/eCitizen platforms and KYC documentation processes.
