Total Rewards Associate

About the role

The Total Rewards Associate ensures accurate and timely payroll processing, statutory compliance, and third‑party payment coordination for all staff and Financial Advisors across the Group. Acting as the operational engine of the Total Rewards team, the role guarantees that payroll inputs are captured correctly, statutory obligations are met, and employee queries are handled professionally.

Key responsibilities

• Receive monthly payroll variation data from HR, Finance, FA Operations and BU HR teams, verify accuracy and format, and return incomplete files with guidance.
• Upload approved variation data into the payroll ERP module and perform pre‑payroll checks to confirm readiness for senior analyst review.
• Extract post‑payroll reports, prepare voluntary and statutory payment files (PAYE, SHIF, NSSF, SACCO savings, staff loans, etc.) and submit them to Finance for timely processing.
• Prepare monthly payroll reconciliations, balance‑sheet and bank account reconciliations for senior analyst approval.
• Log onto statutory online platforms, file monthly returns for NSSF, SHIF and other deductions, and share e‑slips with Finance.
• Monitor validity of statutory compliance certificates, initiate renewals, and track receipt of updated documents.
• Conduct KRA PIN verification for new staff and FA joiners and update the payroll ERP system.
• Manage SHIF card contribution queries, investigate missing deductions and resolve issues within agreed SLAs.
• Implement legislative changes affecting payroll and statutory deductions as instructed.
• Prepare accurate monthly schedules for third‑party deductions (SACCO savings, bank loans, pension contributions, insurance premiums) and follow up with Finance to ensure on‑time payment.
