Grants and Awards Intern

About the role

The Grants and Awards Intern provides comprehensive support to the Awards Management team, ensuring smooth coordination with implementing partners and internal departments. This role is pivotal for the timely processing of award documentation, partner engagements, and donor compliance activities.

Key responsibilities

• Manage and upload award proposal documents to the Awards Management System (AMS) and run related workflows.
• Prepare for monthly award and partner review meetings, record action points, and circulate minutes promptly.
• Assist with partner vetting, assessments, agreement preparation, and payment processing.
• Support planning and execution of partner monitoring visits and award kick‑off/close‑out meetings.
• Maintain income, funding, and close‑out backlog trackers, providing weekly status updates to the team.
• Populate and share partner reporting trackers, ensuring AMS data is up‑to‑date.
• Send calendar invites for award‑related meetings and track follow‑up actions.
• Compile monthly portfolio analysis reports from AMS, highlighting pipeline, active, amended, high‑risk, and closed awards.
• Ensure donor compliance with reporting deadlines, implementation periods, amendment procedures, and audit requirements.
