Export Permits Officer – Supply Chain & Procurement

About the role

The Export Permits Officer ensures that all export permit applications are prepared, submitted and followed‑up in compliance with Pharmacy and Poisons Board (PPB) regulations. This role supports uninterrupted order fulfilment and maintains partner satisfaction by managing a high volume of permits efficiently.

Key responsibilities

• Prepare and submit export permit applications in line with PPB requirements, respecting item limits.
• Manage large volumes of applications to prevent dispatch delays.
• Liaise with the QA Pharmacist, Account Managers and other stakeholders to clarify requirements and resolve queries.
• Maintain accurate digital records following CHMP quality and compliance standards.
• Monitor rejection trends, identify process gaps and drive improvements.
• Provide weekly reports on application volumes, timelines, bottlenecks and status updates.
• Support continuous improvement initiatives related to export compliance.

Required profile

• Diploma in Pharmacy Technology or a related field.
• Understanding of regulatory processes; experience with PPB systems is a plus.
• Strong attention to detail and ability to handle high administrative workloads under time pressure.
• Excellent communication and coordination skills across departments.
• Reliability, ownership of tasks, strong organisational and time‑management abilities.
• Ability to work collaboratively with cross‑functional teams.

Required skills

• Proficiency with ERP systems.
• Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint).
