Procurement Officer – Textile Materials

About the role

Ramco Group is hiring a full-time Procurement Officer in Nairobi to coordinate and execute the procurement of fabrics, trims, garment accessories, production materials and other operational requirements. The role ensures timely availability of quality materials at competitive costs, manages reliable suppliers, negotiates commercial terms and keeps procurement records and inventory controls in place to support uninterrupted production.

Key responsibilities

• Receive, review and consolidate purchase requisitions from production and other departments, then source and procure fabrics, trims, accessories and packaging materials in line with approved specifications and production schedules.
• Prepare and process purchase orders, monitor lead times and follow up on outstanding orders; coordinate with production and stores teams to avoid material shortages.
• Identify and evaluate suppliers, obtain quotations, negotiate prices, payment terms and delivery schedules, and maintain an updated supplier database and performance records.
• Verify fabrics and trims against approved samples and technical specifications, liaise with quality assurance, and follow up on rejected or defective materials.
• Monitor stock levels, align procurement with production consumption, identify cost-reduction opportunities and reconcile purchase orders, delivery notes, goods received notes and supplier invoices.
• Maintain procurement records, prepare periodic reports, support internal and external audits, and keep stakeholders informed of supply constraints and delays.

Required profile

• Diploma or Bachelor's degree in Procurement and Supply Chain Management, Purchasing and Supplies Management or a related field; CIPS or equivalent is an added advantage.
• At least three years' relevant procurement experience, preferably in the textile, garment manufacturing or apparel production industry.
• Demonstrable experience sourcing fabrics, trims and garment accessories, and in supplier identification, price negotiation and purchase order management.
• Experience in a production-oriented environment with time-sensitive material requirements.

Required skills

• Proficiency in Microsoft Office, especially Excel, and in procurement or ERP systems.
• Numerical, analytical and cost evaluation skills.
• Understanding of procurement documentation, controls and compliance requirements.
