Administrative Assistant – Tax Practice

About the role
We are looking for a proactive, detail‑driven Administrative Assistant to support our Tax practice. You will work closely with Tax Partners, Senior Associates and Associates, ensuring smooth day‑to‑day operations and helping the team stay efficient.
Key responsibilities
- Provide administrative support to partners and the broader Tax team, including calendar management and meeting coordination.
- Handle tax registration/deregistration and liaise with external clerks on stamp duty exemptions and related matters.
- Serve as a primary contact for clients and external stakeholders, coordinating meetings, calls and correspondence.
- Manage document preparation, formatting, filing (both physical and digital) and submission to courts/tribunals.
- Assist with billing processes, draft invoices, billing summaries and liaison with finance teams.
- Maintain matter lists, internal reports, performance summaries and tax client databases.
- Support business development activities such as preparing pitch documents, organizing client events and maintaining marketing materials.
Required profile
- Diploma or undergraduate degree in Business Administration, Finance, Commerce, Secretarial Studies or a related field.
- 5–8 years of proven administrative or secretarial experience, preferably in a corporate tax, audit or law‑firm environment.
- Experience with opening new client files and maintaining both physical and digital record‑keeping systems.
- Ability to follow structured workflows and document processes.
- Strong multitasking and prioritisation skills.
