Assistant Documentation Intern

About the role

PIL is seeking a motivated Assistant Documentation Intern to support its Mombasa office in handling shipping documentation for import and export activities. This role offers hands‑on experience with maritime paperwork, compliance procedures, and the use of key internal systems.

Key responsibilities

• Approve delegation charge requests in ODEX and process delivery order approvals.
• Prepare, print, and release delivery orders using the Agency Management System (AMS) and Line Management System (LMS).
• Generate and submit BPT reports, as well as AMS reports 111, 119, and 122 for container tracking and overdue consignments.
• Assist with charge generation, invoice preparation, and Congo levy code processing.
• Handle customs documentation, volume gross mass (VGM), single and administrative documents (SAD), and original bill of lading (OBL) printing.
• Send reminders, demand notices, and manage client communications regarding shipments.
• Support cargo release, telex releases, and seal management.

Required profile

• Enrolled in a relevant academic program (e.g., logistics, maritime studies, business administration).
• Strong attention to detail and ability to work with multiple documentation streams.
• Good organizational skills and ability to meet tight deadlines.

Required skills

• Familiarity with ODEX system.
• Experience using Agency Management System (AMS).
• Experience using Line Management System (LMS).
