Bids/Admin Officer

About the role

The Bids/Admin Officer will manage the full tender lifecycle for Hatari Security Guards Limited, from identifying opportunities to delivering compliant proposals. Based in Westlands, Nairobi, the role combines bid management with general office support to ensure smooth operations and business growth.

Key responsibilities

• Review RFP/RFQ documents, develop bid strategies and lead the end‑to‑end tender process.
• Draft, edit and produce proposal documents that meet client requirements.
• Coordinate with sales, marketing, finance and legal teams to gather inputs and meet submission deadlines.
• Conduct risk assessments, ensure legal compliance and track commercial/technical aspects of bids.
• Maintain a bid content library, including case studies and CVs, for future use.
• Monitor tender portals, research new business opportunities and analyse competitor activity.
• Participate in tender openings and support procurement‑related duties.
• Provide office administration support: handle mail, scanning, filing, manage supplies, schedule meetings and answer calls.

Required profile

• Minimum of 1 month relevant experience in bid or procurement support.
• Strong organisational skills with the ability to manage multiple deadlines.
• Excellent written communication and attention to detail.
• Ability to work collaboratively with internal departments and external clients.
