Customer Communication & Billing Assistant

About the role

The medical clinic is looking for an experienced, customer‑focused Customer Communication & Billing Assistant to ensure smooth patient experiences, accurate billing, and effective coordination with clinical teams and insurance providers.

Key responsibilities

• Handle patient registration, appointment scheduling, check‑ins and check‑outs.
• Manage incoming calls and patient inquiries, directing them to appropriate departments.
• Maintain and update patient information in the Hospital Management System (HMS).
• Coordinate with clinical teams to optimise patient flow and minimise waiting times.
• Generate, verify and process patient bills, collect co‑payments and issue receipts.
• Verify insurance details, coordinate with insurers, and submit insurance claims.
• Follow up on pending bills, outstanding payments and rejected claims.
• Prepare daily cash and billing reports while ensuring compliance with data protection and patient privacy policies.

Required profile

• Diploma in Business Administration, Healthcare Administration, Finance, Customer Service or related field (Bachelor’s degree preferred).
• Minimum 4 years of experience in a similar role, preferably in a hospital or medical clinic.
• Excellent verbal and written communication skills.
• Ability to handle high call volumes and manage multiple tasks efficiently.

Required skills

• Proficiency with CRM systems.
• Experience using Hospital Management Systems (HMS).

What we offer

• Gross salary: Ksh. 35,000 per month.
