Logistics & Admin Assistant – Maternity Cover

About the role

Oxfam is seeking a Logistics & Admin Assistant on a maternity cover basis to support the efficient storage, movement, and management of goods and assets across its operations in Kenya. The role combines logistical coordination with administrative duties, ensuring compliance with Oxfam procurement policies and donor requirements.

Key responsibilities

• Organise delivery and dispatch of supplies, coordinating with the Procurement team and external warehouse staff.
• Process deliveries in the Helios/D365 system, ensuring proper documentation and timely payment.
• Conduct monthly stock takes, prepare reconciliation reports, and maintain systematic filing of warehouse records.
• Supervise casual/temporary staff assisting with warehouse activities.
• Register and track all procured assets in Helios/D365, update the asset register, and arrange repairs and maintenance.
• Carry out quarterly and year‑end physical inventories and manage asset disposal after approval.
• Liaise with field and advocacy offices regarding dispatches and queries.

Required profile

• Diploma in Business Studies or Secretarial studies.
• Proven experience in customer care (minimum 1 month).
• Fluency in written and spoken Kiswahili and English.
• Strong organisational ability, attention to detail, and ability to handle multiple demands.

Required skills

• Proficiency with the Helios/D365 logistics and asset management system.
• Computer literacy and word‑processing skills (e.g., Microsoft Word).
