Operations Assistant

About the role

The Operations Assistant will support daily order processing, inventory management and invoicing for a healthcare supplies company in Nairobi. The role ensures accurate order entry, timely dispatch, and proper financial verification using Odoo and eTIMS systems.

Key responsibilities

• Monitor and acknowledge incoming orders via email, WhatsApp and phone within 2 hours.
• Record orders in the live Order Tracker and verify client details, stock availability and credit limits in Odoo.
• Create sales orders and invoices in Odoo, attach eTIMS transmission and update delivery status.
• Manage payment verification for cash and credit clients, submit proofs to the accountant/CEO and follow up on overdue receivables.
• Pick, pack, and dispatch items, attach eTIMS invoice and delivery note, obtain client signature and confirm receipt in Odoo.
• Perform daily stock checks in Odoo, flag low‑stock or near‑expiry items, receive and store incoming goods, and participate in regular physical counts.

Required profile

• Minimum two years (24 months) experience in order management, inventory or logistics within the healthcare sector.
• Mid‑level qualification (e.g., diploma or degree) relevant to operations or supply chain.
• Strong attention to detail and ability to work under tight timelines.
• Effective communication skills for client interaction via phone, email and WhatsApp.
