About the role
The Operations Assistant/Office Admin will support daily coordination of personnel across client sites, ensuring smooth deployment and compliance with company standards. This role combines administrative duties with on‑the‑ground operational oversight in a fast‑paced environment.
Key responsibilities
- Assist in daily coordination and deployment of staff to client locations.
- Monitor attendance, shift allocations, relievers, and staff scheduling.
- Conduct supervision visits and inspections to verify compliance.
- Respond to operational incidents, emergencies, alarms, and client concerns.
- Prepare and submit daily, weekly, and incident reports accurately.
- Maintain records of deployments, leave schedules, and staff movements, including pick‑ups and drop‑offs.
- Liaise with clients on operational matters to ensure satisfaction.
- Support investigations of incidents, thefts, accidents, or disciplinary issues.
- Coordinate staff replacements, emergency relievers, and shift changes.
- Assist with recruitment, induction, and on‑site training where required.
- Conduct spot checks to ensure staff alertness and effectiveness.
- Ensure proper use and maintenance of company vehicles, motorcycles, radios, and equipment.
- Enforce company policies, operational standards, and procedures.
- Work closely with the Operations Manager and Supervisors to improve service delivery.
- Deliver documents, uniforms, equipment, and other materials to various sites.
Required profile
- Degree in Security Management, Criminology, Business Administration or related field (preferred).
- Previous experience in security operations or supervision (preferred).
- Strong communication, report writing, and interpersonal abilities.
- Ability to work under pressure and respond effectively to emergencies.
- Valid driving licence and confidence in driving; motorcycle riding is an advantage.
- Willingness to work flexible hours, including nights, weekends, and public holidays.
Required skills
- Proficiency with Microsoft Office applications.
