Senior Transport & Dispatch Supervisor

About the role

We are looking for an operational leader to direct fleet, dispatch and vendor operations for Tupande in Kenya, ensuring safety, cost efficiency and high‑performance service. The role will manage a mix of internal vehicles and third‑party taxi providers, supporting staff transportation across Kakamega and surrounding areas. You will also mentor a team of Senior Transport Officers and drive continuous process improvement.

Key responsibilities

• Oversee daily internal and third‑party transport operations, maintain vehicle maintenance standards and manage request fulfillment.
• Coordinate staff taxi requests, driver assignments and route optimisation to reduce trip costs.
• Maintain the taxi vendor database, act as primary contact for issues and use Fleet Management System tools to track utilisation and KPIs.
• Conduct weekly safety inspections and quarterly checks for all fleet vehicles, ensuring compliance with insurance, RSL and speed governors.
• Verify and reconcile transport‑related receipts, generate weekly cost summaries and process payments for fuel, maintenance and vendor contracts.
• Identify process improvements, eliminate duplicate workflows and mentor Senior Transport Officers to build a high‑performance culture.
• Communicate trip and driver details promptly to staff and vendors, optimizing routes for efficiency.
• Ensure all fleet activities adhere to organisational safety protocols and regulatory requirements.

Required profile

• 2‑3 years experience managing fleet, dispatch or vendor logistics operations.
• Eligibility: must be a citizen or permanent resident of Kenya.
• Strong communication skills for coordinating internal staff requests and external vendor relationships.
• Ability to analyse transport cost data and flag discrepancies.
• Demonstrated ability to lead and develop junior staff.

Required skills

• Advanced use of Fleet Management Systems (FMS) for monitoring utilisation and reporting.
• Workflow management of multi‑step approval flows and driver assignments.
• Proficiency with Google Sheets for expense reconciliation and cost‑tracking.
• Experience in expense management, invoice verification and budget coordination.
• Knowledge of transport compliance, safety standards and insurance protocols.
• Ability to detect financial anomalies and implement fraud mitigation strategies.
• Operational agility to handle high‑volume, time‑sensitive logistical requests.
