Client Intake & Care Support Coordinator

About the role

Seamless Assist is seeking a part‑time Client Intake & Care Support Coordinator to ensure families receive prompt, warm responses when they contact the home‑care agency. You will be the first point of contact, guiding leads through the intake process, scheduling visits, and handling essential administrative tasks while maintaining HIPAA compliance.

Key responsibilities

• Monitor incoming leads and respond within minutes, initiating a structured multi‑touch follow‑up (call, text, email) over the first two weeks.
• Book qualified leads into the team’s calendar for calls and in‑home visits, and manage rescheduling requests to keep the schedule accurate.
• Provide ongoing empathetic follow‑up with existing leads and clients, supporting them through difficult care decisions.
• Support recurring billing, invoicing, and compliance reporting, ensuring records are organized and HIPAA‑compliant.

Required profile

• Minimum 2 years experience in a healthcare‑adjacent, caregiving, or medical administration role (geriatric or cardiology experience a plus).
• Strong written and verbal communication in English and ability to work Eastern Time US business hours.
• Warm, unhurried phone presence and comfort handling detail‑heavy, recurring admin work without AI assistance.
