Administrative Support Intern – Travel, Shipping and Visa Unit

About the role
The United Nations Office at Nairobi (UNON) is seeking an Administrative Support Intern for its Travel, Shipping & Visa Unit (TSVU). The six‑month, unpaid internship offers full‑time, on‑site experience supporting visa, shipping, travel‑document and office‑administration workflows within the Central Support Services division.
Key responsibilities
- Receive, screen and direct clients visiting TSVU, providing information on visa, shipping and administrative procedures.
- Assist with receipt, review, tracking and dispatch of visa applications to embassies and consulates.
- Support processing of UN travel documents and maintain related correspondence and records.
- Handle shipment request intake, documentation, tracking and follow‑up with clients and service providers.
- Update TSVU intranet pages and guidance materials when new procedures are issued.
- Maintain electronic and hard‑copy filing systems, databases and records for KPI monitoring, cost recovery and audit trails.
- Contribute to routine reporting, data‑quality checks and general office administration.
- Perform other duties as assigned by the supervisor.
Required profile
- Final‑year undergraduate or recent graduate in Business Administration, Public Administration or a related field; Master’s or Ph.D. candidates in relevant areas may also apply.
- No professional work experience required; a field of study closely related to the internship is essential.
- Strong organizational skills, attention to detail and ability to work under close supervision.
Required skills
- Basic knowledge of visa, shipping and travel‑document procedures.
- Proficiency in office administration and record‑keeping.
- Ability to use standard office software for data entry and document management.
