Imports and Exports Officer

About the role

The Imports and Exports Officer will oversee all international trade activities for Polyflex Industries, ensuring that raw material imports and product exports are processed efficiently, compliantly, and on schedule. This position works closely with suppliers, clearing agents, and internal teams to guarantee smooth logistics and accurate documentation.

Key responsibilities

• Obtain quotations and pro‑forma invoices from prospective import suppliers.
• Prepare and follow up on Import Declaration Forms, ensuring timely processing.
• Generate purchase orders and maintain system integrity.
• Coordinate shipping schedules, obtain freight quotations, and secure approvals.
• Provide required documents to suppliers and monitor shipment progress.
• Liaise with inspection bodies for certificates of conformity or KEBS exemptions.
• Verify shipping documents for accuracy of description, quantity, and value.
• Apply for marine insurance cover and prepare export documentation.
• Submit customs entry documents to clearing agents, review taxes, and process KEBS consignment documents.
• Reconcile third‑party invoices and submit import reports to relevant departments.

Required profile

• Mid‑level professional with at least five years of experience in import/export operations.
• Strong knowledge of Kenyan customs regulations, KEBS requirements, and international trade documentation.
• Proven ability to manage supplier relationships and coordinate logistics.
• Excellent attention to detail and ability to work under tight deadlines.
