About the role

Vision Plus (Kryptonite International Limited) is a fast‑growing consumer electronics and home‑appliance distributor in Kenya. The Sales Order Processing Executive will act as the operational backbone of the sales cycle, ensuring every customer order is captured, fulfilled and documented accurately from receipt to dispatch.

Key responsibilities

  • Receive, verify and enter customer purchase orders from dealers, retail chains, online platforms and corporate clients into Zoho Inventory.
  • Confirm product availability with the warehouse team and allocate stock against approved orders.
  • Generate pro‑forma invoices, delivery notes, tax invoices and credit notes promptly.
  • Coordinate picking, packing and dispatch with logistics and warehouse teams.
  • Track order status through delivery and communicate updates to sales representatives and customers.
  • Process returns, exchanges and credit claims in liaison with after‑sales and finance.
  • Reconcile dispatched orders with purchase orders and flag discrepancies.
  • Maintain order, shipment and correspondence records in Zoho CRM and Zoho Inventory.
  • Support sales with order‑related reports, stock queries and outstanding order tracking.
  • Work with finance to ensure accurate and timely invoicing for collections.
  • Monitor back‑orders, communicate lead times and assist in stock reconciliation exercises.
  • Prepare daily, weekly and monthly order processing and sales performance reports.
  • Ensure compliance with credit limits, pricing approvals and authorization workflows.

Required profile

  • Diploma or Bachelor’s degree in Business Administration, Commerce, Supply Chain Management or related field.
  • Minimum 2 years experience in sales order processing, order management or similar operations role, preferably in FMCG, electronics or distribution.
  • Hands‑on experience with an ERP or inventory management system such as Zoho Inventory, SAP or Sage.
  • Good knowledge of Kenyan VAT, ETR invoicing requirements and standard trade documentation is an advantage.
