Travel Assistant – UN Office Nairobi

About the role

The Travel Assistant works in the Travel, Shipping & Visa Unit of the United Nations Office at Nairobi. The role supports staff, delegations and non‑staff travelers by managing official travel, shipment of personal effects and related administrative processes.

Key responsibilities

• Provide staff and delegations with information on travel entitlements, policies and procedures.
• Review travel and shipment requests in the Umoja system to ensure compliance with UN rules.
• Calculate airfares, construct itineraries and liaise with contracted travel agencies for complex trips.
• Approve travel and shipment authorizations, including amendments and lump‑sum entitlements.
• Process refunds, cancellations and expense reports in accordance with regulations.
• Coordinate worldwide personal‑effects shipments, including registration, insurance coverage and claims.
• Offer Umoja support for travel‑related queries and perform ad‑hoc duties as required.
