Fleet Maintenance Coordinator

About the role

The Fleet Maintenance Coordinator ensures minimal downtime for trucks and trailers by managing breakdown responses and coordinating repairs. Acting as the central communication hub, the role works closely with drivers, maintenance shops, roadside service providers, and operations staff to keep equipment safely back in service.

Key responsibilities

• Receive and respond promptly to driver breakdown calls or alerts.
• Assess repair needs and determine the appropriate solution (roadside service, tow, or in‑house shop).
• Dispatch roadside service providers or tow trucks as required.
• Coordinate with drivers to ensure safety at breakdown locations.
• Maintain a network of approved roadside repair vendors and shops.
• Evaluate repair rates and monitor service quality.
• Verify vendor invoices for accuracy before approving payment.
• Keep drivers, dispatchers, and the operations team informed of repair status and ETAs.
• Document all breakdown incidents in the maintenance management system.
• Track repair timelines, follow up on parts orders and address service delays.
• Monitor repair expenses to stay within budget.
• Minimize truck and trailer downtimes to protect load schedules and customer commitments.

Required profile

• Strong communication abilities to interact with drivers, dispatchers, and vendors.
• Attention to detail for accurate documentation and invoice verification.
• Ability to track repair timelines, parts orders, and expense budgets.
• Experience coordinating roadside service, towing, and in‑house repairs.
