Mailing and Fulfillment Officer

About the role

The Mailing and Fulfillment Officer will coordinate the secure packaging, sorting, reconciliation and dispatch of banking cards and customer materials. Working under the Operations Manager, you will ensure delivery accuracy, inventory integrity and strict compliance with confidentiality and security procedures.

Key responsibilities

• Prepare customer orders for dispatch according to production schedules.
• Verify mailing information and documentation to ensure accuracy before shipping.
• Sort and package materials securely to protect them during transit.
• Track fulfilment activities and maintain complete records of all dispatched items.
• Reconcile dispatch quantities with production outputs and resolve any discrepancies.
• Handle, store and move customer materials securely at all times.
• Report any discrepancies or fulfilment issues promptly to the supervisor.
• Maintain inventory accuracy for packaging supplies and initiate reorders as needed.
• Support timely delivery of orders to meet service‑level commitments.
• Observe confidentiality and information‑security procedures when handling customer data.
• Keep work areas organized, clean and compliant with safety standards.
• Participate in operational improvement initiatives to enhance efficiency and reduce waste.

Required profile

• Reliable, detail‑oriented and organized individual.
• Comfortable working in a fast‑paced production environment.
• Strong commitment to confidentiality, integrity and meeting deadlines.
• Basic education: School Certificate (KCSE or equivalent); a certificate in operations management is a plus.
• 1‑3 years of experience in fulfilment, dispatch, warehousing or logistics, preferably in a banking services setting.
