Operations & Client Coordinator

About the role

The Operations & Client Coordinator ensures smooth daily operations and delivers exceptional client service from the first inquiry through care or equipment delivery. Acting as the primary point of contact, this role supports leadership by handling client communication, scheduling, and operational coordination within the healthcare sector.

Key responsibilities

• Answer phone calls and WhatsApp messages professionally, responding to inquiries within 5 minutes during working hours.
• Prepare quotations, follow up with prospective clients, and request testimonials after successful service delivery.
• Schedule caregivers, coordinate shift changes, confirm attendance, and manage care‑plan compliance.
• Handle product inquiries, prepare quotations, coordinate deliveries, track inventory and manage warranty/after‑sales communication.
• Maintain daily CRM updates, file contracts and quotations, and prepare weekly performance summaries.
• Serve as the first point of contact for hospitals, doctors, suppliers and resolve issues promptly, escalating only decisions requiring management approval.
• Follow standard operating procedures: review appointments each morning, ensure full inquiry process throughout the day, and finalize daily reports for the CEO.

Required profile

• Diploma or Bachelor’s degree in Business Administration or related field.
• Approximately 24 months (2 years) of relevant experience.
• Strong written and verbal communication skills.
• Ability to manage multiple client interactions and operational tasks simultaneously.
