Procurement Assistant (Entry Level)

About the role

The Procurement Assistant will support Habitat for Humanity’s procurement function in Nairobi, handling quotations, purchase orders, supplier invoices and record‑keeping. This entry‑level position ensures compliance with internal policies and donor requirements while facilitating timely delivery of goods and services.

Key responsibilities

• Assist in obtaining quotations, preparing procurement documents and supporting tender processes.
• Prepare and process Local Purchase Orders (LPOs) and Local Service Orders (LSOs).
• Track supplier invoices, support payment approvals and maintain procurement trackers and supplier databases.
• Receive, record and route procurement requests and communications, ensuring proper filing in electronic and hard‑copy formats.
• Support audit compliance, prepare minutes for procurement meetings and follow up on deliveries.

Required profile

• Bachelor’s degree or Higher Diploma in Procurement, Supply Chain Management, Logistics, Business Administration or related field.
• At least two years of relevant procurement or supply‑chain experience, preferably with NGOs or donor‑funded projects.
• Membership or registration with the Kenya Institute of Supplies Management (KISM) is desirable.
• Strong organizational, analytical and communication skills with high attention to detail.

Required skills

• Proficiency in Microsoft Office Suite – Excel, Word, PowerPoint, Outlook.
• Knowledge of procurement principles, policies, donor compliance and record‑management.
• Experience with electronic procurement and document‑management systems (if any).
