Procurement Assistant

About the role

Royal Mabati Factory Limited is hiring a full-time Procurement Assistant in Westlands, Nairobi. The role covers the day-to-day buying of materials, supplies and services, keeping records accurate and working closely with stores, accounts and operations.

Key responsibilities

• Coordinate and execute procurement of materials, supplies and services in line with company policy.
• Inspect and verify goods received against LPO specifications and supplier delivery documents.
• Follow up with vendors promptly to keep supplies flowing and resolve discrepancies.
• Maintain an updated procurement register and file documents for audit purposes.
• Take part in inventory spot checks, random audits and quarterly stock takes, and reconcile procurement records with inventory issuance.
• Work with stores, accounts and operations on consumption tracking and reordering, and prepare weekly procurement and inventory consumption reports.
• Assist in supplier evaluation, contract management and negotiations, and monitor supplier performance and approved supplier lists.
• Ensure ethical, transparent procurement, compliance with company policies and laws, and availability of emergency supplies.
• Identify cost-saving opportunities without compromising quality.

Required profile

• Diploma or degree in Procurement, Purchasing & Supplies or an equivalent from a recognised institution.
• Minimum 2 years' experience in a similar role.
• Fluency in written and spoken English.

Required skills

• Familiarity with inventory systems and procurement software.
• Proficiency in MS Office (Word, Excel, Outlook).
• Strong negotiation and vendor management skills.
• Excellent organisational and documentation skills, with integrity, accuracy and accountability.
