Procurement Associate

About the role

The Procurement Associate will support the end‑to‑end procurement lifecycle, ensuring timely purchases, effective pre‑order management, and strong coordination with suppliers and internal stakeholders. This role is the primary operational contact for procurement orders and supplier communication while maintaining accurate documentation and compliance.

Key responsibilities

• Manage the full procurement cycle from requisition review to purchase order creation, tracking, and delivery confirmation.
• Serve as the primary point of contact for order status, providing timely updates to internal stakeholders and escalating issues.
• Maintain and update the supplier database, including contracts, pricing, SLAs, performance metrics, and compliance documentation.
• Conduct supplier performance reviews, monitor delivery timelines, quality, and pricing adherence, and resolve issues.
• Ensure accurate documentation of requisitions, LPOs, delivery notes, invoices, and contracts, and maintain records for audit readiness.
• Monitor stock levels across locations, set pre‑order and re‑order thresholds, and generate stock status reports to prevent shortages or overstock.
• Identify and propose process improvements, cost‑optimization opportunities, and automation within procurement workflows.

Required profile

• Bachelor’s degree in Procurement, Supply Chain Management, Business Administration or a related field.
• Diploma in CIPS or equivalent professional certification.
• Membership in the Kenya Institute of Procurement and Supplies (or similar professional body).
