Project Administrator for EQUIT Study

About the role

The EQUIT Study seeks a Project Administrator to support a one‑year mixed‑methods implementation research project on adolescent and young adult cancer care in Kenya. The role reports to the Principal Investigator and assists the project team with administrative, financial, and logistical tasks.

Key responsibilities

• Process staff payroll, benefits, and statutory deductions; prepare monthly invoices and financial reports for donors and the hospital grants office.
• Track and reconcile project expenditures, manage petty cash, and ensure timely reimbursement.
• Maintain personnel files, contracts, and subcontract documentation; liaise with the hospital supply chain for procurement of office, lab and clinic supplies.
• Coordinate meetings, book venues, take minutes, send reminders, and process related invoices.
• Prepare and file correspondence with ethics committees, donors and collaborators; keep an updated asset register.
• Support participant recruitment activities, including consent, project summary provision and reimbursement processing.

Required profile

• Diploma in Project Management, Business Administration, Finance, Accounting or Human Resource Management.
• Recent graduate (≤2 years) with strong interpersonal and communication abilities.
• Experience in research project administration is an advantage.

Required skills

• Proficiency in Microsoft Office – Word, Excel and PowerPoint.
• Computer literacy and ability to use document‑management and tracking tools.
