Assistant Accountant

About the role

The Assistant Accountant supports the Finance Manager in maintaining the daily financial rhythm of the company. You will ensure sales are accurately invoiced, receivables are collected on time, and the Odoo ERP system remains the single source of truth. This role acts as the bridge between the Sales Team and Finance Department.

Key responsibilities

• Process daily sales orders in Odoo, generate accurate invoices, and allocate them to the correct customers and sales representatives.
• Maintain a clean customer master data file in Odoo, including KRA PIN, contact details, and route mapping.
• Monitor credit limits, flag overdue accounts, and enforce credit terms.
• Own the accounts receivable ledger, produce weekly aged receivables reports, and follow up on outstanding balances.
• Post customer payments (cash, M‑Pay, bank transfers) promptly and reconcile statements.
• Escalate disputed or long‑outstanding debts to the Finance Manager with full transaction history.
• Perform daily cash and bank reconciliations, manage petty‑cash disbursements, and support supplier payment documentation.
• Track inventory movements in Odoo, support periodic physical stock counts, and maintain logistics Excel trackers.
• Prepare Excel trackers for sales summaries, commission calculations, and inventory flow.
• Assist in preparing VAT, PAYE, and other statutory filing schedules.
• File and maintain financial documents for easy audit retrieval.

Required profile

• Diploma or Bachelor’s degree in Accounting, Finance, or a related field.
• Strong attention to detail and ability to work with high transaction volumes.
• Excellent organizational skills and ability to manage multiple priorities.

Required skills

• Proficiency with Odoo ERP (sales, invoicing, inventory modules).
• Advanced Excel skills for reporting and data tracking.
• Experience with cash reconciliation, petty‑cash management, and bank statement matching.
• Knowledge of VAT, PAYE, and other statutory compliance requirements.
• Familiarity with payment platforms such as M‑Pay or similar mobile money services.
