Data Clerk - KNEQAS Proficiency Testing

About the role

AMREF Health Africa is hiring a Data Clerk in Nairobi (Westlands) to provide accurate, timely and secure data and documentation support for KNEQAS proficiency testing (PT) panel production and scheme operations. The postholder maintains traceable production records, supports participant enrolment and panel distribution tracking, verifies submitted data and prepares summaries for technical review and quality improvement. Duties cover the schemes assigned by the KNEQAS supervisor.

Key responsibilities

• Production records: enter and reconcile data from approved PT production worksheets and registers, record quantities produced, approved for dispatch, dispatched and remaining, and flag discrepancies to the production team.
• File technical records such as quality control and batch release documentation, checking that required fields and approvals are present.
• Maintain verified participant and facility records in the KNEQAS system, prepare enrolment lists and round trackers, and resolve duplicate, incomplete or inconsistent records.
• Prepare dispatch lists and labels, maintain dispatch and receipt trackers, and update inventory records from verified receipts, reporting shortages or discrepancies.
• Enter authorised paper submissions where required, verify electronic and hardcopy records, follow up missing submissions and keep a dated query and correction log.
• Prepare validated summaries of production, dispatch, participation and result submission for supervisor review, and support document control and audit preparation.

Required profile

• Diploma in biological sciences or a relevant course; a bachelor's degree is an added advantage.
• At least one year of data management experience in a busy laboratory.
• Knowledge of data verification, confidentiality, document control and laboratory safety; PT workflow experience is an added advantage.

Required skills

• Ability to use databases, spreadsheets and electronic records.
• Familiarity with KNEQAS electronic PT systems is desirable.
