Dispatch Assistant – Mombasa

About the role

The Dispatch Assistant will manage fuel dispatch operations at the Mombasa terminal, ensuring accurate documentation, timely truck release and high‑quality customer service. This role supports safety, efficiency and compliance across all loading and dispatch activities.

Key responsibilities

• Document all fuel loadings and release trucks within a 5‑minute processing window.
• Conduct weekly toolbox meetings, circulate minutes and follow up on actions.
• Perform weekly walk‑abouts and surprise truck inspections, checking seals, ullage and checklist compliance.
• Review journey plans, monitor local truck availability and coordinate corrective actions with the RT Coordinator.
• Maintain dispatch KPIs, update in‑transit reports and ensure zero high/serious audit findings.
• Capture customer LPOs, obtain signatures on loading notes and manage credit notes for product returns.
• Verify loading temperatures, update SAP every four hours and ensure accurate invoicing.
• Handle product quality/quantity complaints and resolve them within the day.

Required profile

• Entry‑level qualification with up to three years of relevant experience.
• Strong attention to detail and ability to work under tight timelines.
• Good communication skills for coordinating with drivers, customs officers and internal teams.
• Commitment to safety culture and HSSE standards.

• SAP (dispatch and inventory modules).
