Events Coordinator

About the role

Growthpad Consulting Group is seeking an Events Coordinator to transform client briefs into memorable, well‑controlled event experiences across Africa. You will own daily coordination, ensuring scope, schedule, budget and stakeholder alignment from briefing through close‑out.

Key responsibilities

• Translate client briefs into detailed event plans covering objectives, audience, scope, milestones, budget and success metrics.
• Build and maintain production schedules, work‑back plans, checklists, floor plans, run‑of‑show documents and decision logs.
• Serve as the primary point of contact for clients, preparing agendas, minutes, status reports and approval trackers.
• Coordinate speakers, moderators, exhibitors, sponsors, media, delegates and other stakeholders according to the event plan.
• Support cost estimates, supplier briefs and production budgets, keeping expenditures within approved limits.
• Source, compare and negotiate with venues, caterers, transport providers, security, interpreters and equipment suppliers.
• Reconcile supplier deliveries, variations and invoices promptly after each event.
• Manage invitations, registrations, confirmations and participant communications to ensure a smooth delegate journey.

Required profile

• Strong commercial accountability with the ability to protect client objectives and manage risk.
• Excellent organisational and project‑control skills to track actions, identify slippage and propose recovery options.
• Proactive communication style, able to document decisions and keep stakeholders informed.
