Executive Operations Coordinator

About the role

We are seeking an Executive Operations Coordinator to support executive leadership for a USA‑based client. The role blends executive assistance, project coordination, process improvement, and stakeholder management across multiple sectors, including housing, education, healthcare, gaming, and sports technology.

Key responsibilities

• Coordinate multiple cross‑functional projects from planning to delivery, tracking timelines, milestones and deliverables.
• Develop, implement and refine operational processes, workflows and automation solutions.
• Provide scheduling, follow‑up and executive support to senior leaders.
• Identify operational challenges and propose practical, AI‑driven solutions.
• Maintain accurate project documentation, reports and operational records.
• Collaborate with remote teams in the USA, Philippines and Spain.
• Support light marketing initiatives and internal business communications.

Required profile

• Minimum 3 years of experience in business operations, operations coordination, project coordination, executive support or a similar role.
• Proven ability to manage several projects simultaneously while meeting competing deadlines.
• Strong organisational, problem‑solving and stakeholder‑management skills.

Required skills

• Experience with AI tools such as ChatGPT, Claude or Gemini.
• Proficiency in CRM platforms (Zoho, Salesforce, HubSpot).
• Advanced use of Google Workspace (Docs, Sheets, Calendar, Drive).
• Familiarity with QuickBooks, Fireflies.ai or Roam Research (advantageous).
