Prequalification of Vendors Consultant

About the role

The Prequalification of Vendors Consultant will work closely with HIAS Kenya's Procurement Unit to coordinate and report on the opening, evaluation, and contracting of vendor pre‑qualification documents for goods and services.

Key responsibilities

• Review pre‑qualification documents according to HIAS product and service categories.
• Supervise the opening of tender documents, set deadlines, and assign responsibilities.
• Evaluate applications against set criteria and verify vendor willingness to comply with HIAS terms.
• Conduct physical or phone verification of vendors that meet the criteria.
• Prepare a technical pre‑qualification report and create a vendor database containing name, address, contact details, and product categories.
• Provide recommendations to address gaps in vendor applications and advise on procurement practices.
• Facilitate the contracting process and coordinate signing of contracts with successfully pre‑qualified vendors.

Required profile

• Experience in procurement, tender evaluation, and vendor pre‑qualification processes.
• Ability to ensure integrity, fairness, and transparency in procurement activities.
• Familiarity with NGO procurement policies and ethical standards.

Required skills

• Strong procurement knowledge.
• Experience evaluating tenders and pre‑qualification applications.
• Ability to verify vendor information through physical or phone checks.
