Procurement Manager

About the role

Brookhill is looking for a single, hands-on Procurement Manager who buys all the materials, plant hire and subcontracted works needed for its projects, at the right price, quality and time, with a clean audit trail behind every purchase. The person runs the negotiations and raises the LPOs.

Key responsibilities

• Sourcing and buying: run competitive RFQs with at least three comparable quotes, read BOQs and drawings, take off materials and resolve specification gaps before ordering.
• Raise and manage LPOs, ensuring three-way match (LPO, delivery note, invoice) before payment; package and procure labour-only and specialist subcontractors.
• Negotiate rate cards and framework agreements with key suppliers (cement, steel, hardware, timber, finishes), build tiered volume discounts and rebates, and draft price-adjustment clauses tied to verifiable indices.
• Secure and manage credit terms, credit limits and priority allocation with suppliers.
• Contract administration: police rate cards on invoices, keep a variations and claims log, schedule deliveries and manage returns and shortages.
• Supplier management: maintain the approved supplier register, hold quarterly reviews with the top 10 to 15 suppliers, and develop at least two qualified sources for every critical material.
• Reporting: report monthly to the Directors on spend, savings, price movements and open LPOs, keep audit-ready files for every purchase, and support internal and external audits.

Required profile

• Full member of the Kenya Institute of Supplies Management (KISM) with a current practising licence, verified directly with KISM.
• Degree in procurement, supply chain, quantity surveying or construction management; a diploma with CPSP-K is also accepted.
• At least 5 years in procurement, of which at least 3 buying for a contractor, developer or building-materials distributor in Kenya.
• Established relationships with Nairobi hardware and building-materials suppliers, with a record of securing credit terms, allocation and competitive pricing.
• Demonstrated experience negotiating rate cards, framework agreements or volume rebates.
• Clean standing with KISM and other professional bodies, and referees confirming adherence to anti-bribery policies.

Required skills

• Strong negotiation, with evidence of savings or improved terms secured.
• Ability to design objective technical and financial scoring for quote comparisons and to spot signs of bid-rigging.
• Working knowledge of construction materials and specifications, and ability to read BOQs and construction drawings.
• Advanced Excel or Google Sheets for price comparisons, spend analysis and supplier records.
• Clear written reporting to directors.
• Desirable: MCIPS or CPSP-K, Xero, ApprovalMax or another ERP/e-sourcing system, import experience through the Port of Mombasa, and supplier networks in Mombasa, Nakuru or Kisumu.
