Sales Order Processing Clerk (SOP Clerk)

About the role

Kenya Builders & Concrete Company Ltd is seeking a Sales Order Processing Clerk in Nairobi to process sales orders and related documentation accurately and on time. The role covers quotations and orders in iScala, picking lists, invoices and delivery notes, and coordinates with Sales, Production, Logistics and Accounts for efficient fulfilment and customer satisfaction.

Key responsibilities

• Enter quotations, confirmed orders and delivery schedules in iScala, and generate picking lists, proforma and sales invoices.
• Ensure orders are recorded accurately, priced at approved rates, and that stock availability is confirmed and items allocated.
• Maintain customer records and sales transactions in iScala, attach supporting documents such as LPOs and payment slips, and file and archive order documentation.
• Liaise with warehouse and dispatch for timely order preparation and dispatch, and work with sales and customer service on order queries.
• Verify orders against credit, pricing and payment-term policies, comply with approval controls, and report discrepancies, stock variances or unusual order patterns.
• Update deal status, log notes and follow-ups in HubSpot, and use the CRM to track the order lifecycle.

Required profile

• Diploma or certificate in Business Administration, Procurement or a related field.
• 1-2 years' experience in sales administration, data entry or order processing.
• Basic accounting or ERP systems training is an advantage; familiarity with ERP (e.g. iScala) and CRM (e.g. HubSpot) is an advantage.
• Manufacturing, distribution or logistics experience preferred.
