Finance / Human Resources Assistant

About the role

Médecins Sans Frontières (MSF) is looking for a Finance / Human Resources Assistant in Nairobi on a contract basis. The post covers payroll management, day-to-day HR administration (leaves, trainings, appraisals follow-up) and follow-up of needs in two SKID guest houses, including supervision of office and house cleaners. It also involves petty cash handling, data entry into Unifield and monthly reconciliations.

Key responsibilities

• Check payroll calculations, update personal files and draw up monthly pay slips, ensuring accurate and timely payments
• Implement cash management procedures, prepare weekly or monthly cash reconciliations and help plan monthly treasury and salary advances
• Prepare employment contracts and keep staff files complete, including social security and tax office records
• Enter data into the HR database and accounting software, and classify and file accounting documents
• Supervise office and house cleaners in the two SKID guest houses and keep signatories up to date
• Translate documents into the local language and assist the manager in meetings when requested
• Ensure recruitment files are archived and old ones destroyed

Required profile

• Degree in Human Resources, Finance, Business or Administration
• At least two years of previous experience in relevant jobs; experience in MSF or other NGOs in developing countries is desirable
• English essential; Kiswahili desirable
• Results and quality orientation, teamwork, flexibility, respect for MSF principles and stress management

Required skills

• Computer literacy (Word, Excel, ERP)
• Desirable: knowledge of UniField and Homere software
