Job description

About the role

A leading logistics and supply chain provider, specializing in freight management, customs clearance and import/export operations, is hiring an Imports Coordinator in Nairobi. The role manages the end-to-end importation and customs clearance process so that goods arrive on time, in full compliance and at the right cost. It suits a hands-on professional who can independently handle shipments.

Key responsibilities

  • Manage the full import process from receipt of shipping documents to customs clearance and cargo release.
  • Process and lodge Import Declaration Forms (IDFs) through KenTrade and ICMS systems accurately and on time.
  • Prepare, review and verify shipping documents such as Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin and permits.
  • Ensure correct HS code classification, customs valuation and accurate duty and tax calculations; calculate insurance and landed costs.
  • Monitor customs entries, follow up on duty assessments and respond to valuation queries or compliance issues.
  • Liaise directly with regulatory bodies such as KRA, KEBS, KEPHIS, the Kenya Dairy Board, Pharmacy and Poisons Board, Kenya Radiation Protection Board, Kenya Veterinary Board, Nairobi City County and others to obtain approvals, inspections, permits and compliance documentation (prior hands-on experience required).
  • Manage KEBS ISM sticker calculations where applicable.
  • Work with clearing agents, freight forwarders and suppliers to track shipments and avoid demurrage and penalties.
  • Maintain accurate import records for audits and stay updated on customs regulation changes.

Required profile

  • Bachelor's degree or diploma in Logistics, Supply Chain Management, Business Administration or a related field.
  • 4-6 years of practical experience in importation and customs clearance.
  • Mandatory prior experience in a clearing house or directly handling customs declarations.
  • Strong attention to detail and ability to manage several shipments within tight deadlines.
  • Practical, execution-driven, confident dealing with regulators and able to work with minimal supervision.
  • Membership with the Kenya Institute of Supply Chain Management (KISM) is desirable.

Required skills

  • Strong working knowledge of ICMS and KenTrade systems.
  • Solid understanding of tariff classification, customs valuation and duty calculation.
