Dispatch Assistant - Mombasa

About the role

The Dispatch Assistant will oversee fuel dispatch operations at the Mombasa terminal, ensuring accurate documentation, timely truck release, and compliance with safety and quality standards. This role supports the terminal’s HSSE plan and contributes to efficient gate‑to‑gate turnaround.

Key responsibilities

• Document all fuel loadings and release trucks within a 5‑minute processing window.
• Conduct weekly toolbox meetings, circulate minutes and follow up on actions.
• Perform weekly walk‑abouts and surprise truck inspections, checking sealing, ullaging and checklist compliance.
• Review journey plans for contracted trucks, follow up remedial actions and optimise local truck performance.
• Maintain and update dispatch KPIs, ensuring zero high/serious audit findings.
• Capture customer LPO orders, record driver and vehicle details, and obtain signed loading notes.
• Monitor loading temperatures, verify data with the tank farm and update SAP every four hours.
• Handle customer complaints on product quality/quantity and resolve them within the day.
• Update in‑transit reports, follow up overdue deliveries and ensure proper archiving of sales documents.
• Support incident and PI reporting to achieve at least two reports per month.

Required profile

• Strong attention to detail and ability to work under tight time constraints.
• Good understanding of fuel dispatch procedures and safety regulations.
• Effective communication skills for coordinating with drivers, customs officers and internal teams.
• Ability to conduct inspections and enforce compliance standards.

Required skills

• Proficiency with SAP for data entry and temperature tracking.
• Familiarity with dispatch documentation and KPI monitoring.
