Dispatch Clerk

About the role

Greenforest Foods Ltd is hiring a Dispatch Clerk in Westlands, Nairobi. The role covers coordinating dispatch and orders, supporting supplies and suppliers, keeping stock records up to date and maintaining accurate documentation.

Key responsibilities

• Prepare and maintain dispatch documentation, delivery notes and related records, and coordinate the preparation, collection and dispatch of orders.
• Follow up on deliveries, collections and outstanding orders, escalating delays or discrepancies to the supervisor, and liaise with internal teams so orders are ready for dispatch.
• Support sourcing and replenishment of office and operational supplies, obtain supplier quotations, follow up purchase requests and delivery timelines, and assist with purchase orders, delivery notes and invoices.
• Update stock and inventory records, support periodic stock counts and reconciliations, and record stock movements, receipts and issues.
• Maintain physical and electronic records of dispatches, deliveries, purchase orders and supplier transactions, and prepare basic dispatch, stock and supplies reports.

Required profile

• Diploma in Procurement and Supply Chain Management, Business Administration, Business Studies or a related field.
• At least 1-2 years of relevant experience in dispatch, stores, inventory support, procurement, logistics or general operations.
• Experience with inventory management, procurement or ERP systems is an added advantage.

Required skills

• Proficiency in Microsoft Office, particularly Excel, for records and basic reports.
• Strong organisation, attention to detail and recordkeeping skills.
• Effective communication with suppliers, drivers and internal teams, and the ability to follow up on orders and manage competing priorities.
