MICE Assistant (IME) - Nairobi

About the role

A full-time MICE (Incentive Meetings and Events) Assistant position in Nairobi, Kenya, focused on supporting travel and tourism clients with quotations, itineraries, bookings and event coordination.

Key responsibilities

• Prepare accurate quotations, itineraries, proposals and presentations, and source supplier rates and competitive costings.
• Respond promptly and professionally to client enquiries and maintain accurate records of enquiries, quotations and bookings.
• Coordinate meetings, conferences, incentive programmes, exhibitions and special events.
• Arrange accommodation, transport, venues, catering, guides and other services; prepare rooming lists, passenger manifests and operational documents.
• Reconfirm all supplier services before client arrival or programme start, liaising with hotels, venues, transport providers and guides.
• Process booking amendments, communicate operational updates and support on-site event delivery and service recovery when needed.
• Maintain complete booking, supplier and financial documentation.

Required profile

• Diploma in Tourism, Hospitality, Business, Events Management or a related field.
• At least three years' experience in tourism, destination management, hospitality or MICE operations.
• Experience coordinating inbound leisure groups, conferences or events, and preparing quotations, costings and detailed itineraries.
• Good written and spoken English.

Required skills

• Strong organization, attention to detail and ability to manage multiple bookings and deadlines.
• Excellent client service and communication skills.
• Proficiency in Tourplan and Wetu is an added advantage.
