Purchasing & Order Management Coordinator

About the role

Krones, a regional subsidiary for the East Africa region based in Nairobi, Kenya, supplies state-of-the-art technology for sustainable and affordable beverages, food and essentials. It is looking for a Purchasing & Order Management Coordinator to ensure the timely and cost-effective procurement and delivery of goods and services through effective supplier, purchasing and order management processes.

Key responsibilities

• Process quotation requests accurately and on time, communicating with suppliers and negotiating competitive prices and delivery timelines
• Process purchase orders with allocated suppliers (local and international) for stocked items, customer-specific and ad-hoc purchases
• Clarify orders and specifications by obtaining additional information from other departments
• Coordinate with the after-sales team on order status, shipping dates, issues and product availability
• Follow up on and expedite late and urgent orders to ensure materials arrive on time, to cost and quality, and to the right customer
• Source contractors for internal maintenance and emergency repairs as needed
• Manage the order confirmation process with attention to detail and timely stakeholder management
• Maintain accurate records of all order statuses
• Comply with Krones order purchasing and fulfilment policies and suggest improvements
• Work with the finance department on invoice and pricing issues and supplier master data accuracy
• Support monthly measurable and continuous improvement activities and help achieve supply chain performance targets

Required profile

• Higher National Diploma or university degree in Supply Chain Management, Procurement or a related field
• Minimum 3 years' experience in a similar role, preferably in a related industry
• Experience working with ERP systems (preferably SAP) and managing local and international suppliers
