About the role

The Senior Administrative Assistant provides high‑level administrative support to the Administrative Law Division (ALD) within the Office of Human Resources. Reporting to the P‑4 Administrative Officer (Coordination), the role ensures smooth HR, budget and finance operations for the division in Nairobi.

Key responsibilities

  • Coordinate recruitment, placement, promotion, relocation, performance appraisal and other HR activities across ALD, ensuring consistency with UN rules.
  • Maintain staff selection files, track job openings and advise staff on conditions of service.
  • Assist in preparing ALD’s work programme, budget development and monitoring, including cost estimates and resource reallocations.
  • Collect data, generate financial reports, review budget proposals and monitor expenditures.
  • Support requisitions for goods and services, ensuring correct charging and fund availability.
  • Monitor extra‑budgetary resources, review agreements and ensure compliance with regulations.

Required profile

  • Proven experience in administrative and HR support within an international or multilateral organization.
  • Strong understanding of UN staff rules, budget cycles and financial reporting.
  • Ability to work under delegated authority and liaise with central administration.
