About the role
The Administrative Assistant Contractor will support the Vice President and the Southwest HR team across Phoenix, Tucson and Mesa. Working onsite, you’ll manage calendars, coordinate HR processes and ensure smooth day‑to‑day operations for senior leaders.
Key responsibilities
- Perform reception duties, manage mail, courier services and office supplies.
- Coordinate logistics for training, off‑site events and conferences.
- Prepare and edit reports, presentations and HR‑related documents.
- Assist with HR projects, pre‑employment screening, employment verification and onboarding.
- Maintain employee files, track service award programs and act as backup for HR data reporting.
- Manage complex calendars, travel arrangements and expense reporting for the VP using Concur.
- Administer building access, visitor logs and expense reporting in Concur.
Required profile
- Previous administrative experience, preferably supporting HR or executives.
- Strong organizational and prioritization abilities.
- Excellent written and verbal communication across all levels.
- Ability to handle confidential information with discretion.
Required skills
- Proficiency with Microsoft Office Suite.
- Experience using HRIS systems.
- Familiarity with Concur expense management.
- Knowledge of CDK employee management system.

- Hybrid onsite schedule (3 days Phoenix, 2 days Mesa) transitioning to full‑time Mesa location.
- Standard business hours (Monday‑Friday, 7 am‑4 pm).
