Accounts Assistant - Payables

About the role

TakaTaka Solutions is hiring a full-time Accounts Assistant (Payables) in Westlands, Nairobi. The role covers receiving and verifying supplier invoices, posting them in the accounting system, preparing payment packs, tracking payments and supporting month-end close.

Key responsibilities

• Receive supplier invoices and verify completeness (supplier details, dates, descriptions, tax/WHT, approvals and supporting documents)
• Perform basic matching checks (invoice vs PO/quotation, delivery note/GRN/service confirmation) and escalate gaps
• Post invoices daily in QuickBooks/ERP to the correct supplier, account, cost center/project and tax treatment
• Maintain an invoice control log and update payables trackers (AP register, payment tracker, aging tracker, statement reconciliation tracker, budget tracker) daily or weekly
• Prepare payment packs and payment schedules, then process routine payments such as suppliers, fuel, utilities and airtime
• Follow up on pending approvals, support petty cash processing and reconciliation, and reconcile supplier statements monthly
• Maintain supplier master data and a well-organized filing system for audit readiness
• Support month-end close (cut-offs, accruals, reconciliations, reporting), assist in improving AP processes and support internal and external audits
• Provide weekly AP summaries to the reporting manager

Required profile

• Diploma or degree in Commerce, Finance, Business Management/Administration or a related field
• CPA II and above or ACCA (or equivalent)
• 1-3 years of experience in accounts payable or a similar finance role
• Experience in invoice processing, payment preparation, supplier reconciliations and record keeping
• Exposure to budgeting controls, supporting audits and basic tax compliance (WHT/VAT where applicable)
