Customer Service Coordinator - Import/Export

About the role

Q-Sourcing Limited trading as Q-Sourcing Servtec is a manpower management solutions firm operating across the East African region (Uganda, Kenya, Tanzania, Rwanda and South Sudan). On behalf of its client, it is hiring a Customer Service Coordinator in Nairobi to support the FFL import/export function effectively and efficiently, in line with client and customer requirements.

Key responsibilities

• Comply with local authorities' import/export requirements, including processing permits and IDFs, coordinating shipping and logistics, preparing certificates of origin (EAC/COMESA) and customs clearance documents, and generating other government clearance documents
• Implement export/import SOPs and maintain export/import records
• Receive and record customer orders, raise pro-forma invoices, and prepare export documentation, including documents required by letters of credit
• Capture orders in SAP and check pack and shelf-life requirements per market
• Communicate with customers to obtain shipment approval and update clients as needed
• Engage with inspection authorities, book approved consignments for transit, send pre/post alerts and track shipments to destination
• Maintain outbound shipment PODs, support the induction of new employees, and help implement departmental and site EMS objectives

Required profile

• Certification in business management, supply chain management, customs clearance, freight forwarding or equivalent
• Minimum 1 year of experience in freight forwarding and customs clearance operations
• Excellent communication skills and ability to interact at a high level with clients, senior management and authorities
• Team player who can also work independently with minimal supervision
