Legal Intake Specialist – Client Services

About the role

We are looking for a Legal Intake Specialist to be the first point of contact for potential clients at our growing personal injury law firm in Seattle. In this full‑time, on‑site position you will handle inbound inquiries, gather essential case information and guide callers through the initial steps with professionalism and empathy.

Key responsibilities

• Answer inbound calls, texts and emails from prospective clients, delivering a courteous and empathetic first interaction.
• Collect and accurately record case details in the firm’s intake system.
• Conduct outbound follow‑ups to obtain additional information and move cases forward.
• Prioritize urgent or high‑value leads according to firm guidelines.
• Send intake documents and agreements when appropriate.
• Track lead progress, maintain detailed notes and review missed calls for prompt follow‑up.
• Collaborate with intake leadership and legal staff to route cases correctly.

Required profile

• 1–3 years of experience in intake, customer service, call‑center or other client‑facing roles.
• Strong communication and listening abilities with a focus on empathy.
• Ability to manage multiple calls and tasks simultaneously.
• Excellent organizational skills and attention to detail.
• Comfortable using digital case‑management systems.
• Legal, medical or personal‑injury background is a plus, not required.
