Procurement Assistant

About the role

The Procurement Assistant supports RefuSHE in acquiring goods and services efficiently, ensuring compliance with procurement policies, donor requirements, and Kenyan law.

Key responsibilities

• Receive and verify purchase requests, obtain quotations, prepare bid analysis, and draft purchase orders and contracts.
• Follow up with suppliers, inspect deliveries, prepare goods received notes, and maintain complete procurement files for audit.
• Update pre‑qualified supplier lists, conduct due‑diligence checks, and track supplier performance.
• Assist with inventory management, stock records, asset tagging, and maintain a procurement tracker.
• Ensure suppliers have valid tax compliance certificates and KRA eTIMS invoices, and report any fraud or conflicts of interest.

Required profile

• Diploma or degree in Procurement, Supply Chain Management, Business Administration or related field.
• Membership of Kenya Institute of Supplies Management (KISM); CIPS certification is a plus.
• At least 2 years of procurement or stores experience, preferably in an NGO or donor‑funded environment.
• Knowledge of Kenyan procurement laws and tax requirements for suppliers.
• Fluent in English and Kiswahili with high integrity and confidentiality.

Required skills

• Proficiency in Microsoft Excel.
• Experience with inventory or ERP systems (advantageous).
