Remote Onboarding Specialist for Healthcare Providers

About the role

We are looking for a Remote Onboarding Specialist to join our team supporting a U.S.-based behavioral health organization. In this non‑clinical, operations‑focused position you will be the primary point of contact for newly hired healthcare providers, ensuring they are fully prepared to start seeing patients.

Key responsibilities

• Contact new providers to schedule onboarding calls and manage all pre‑call coordination.
• Complete pre‑onboarding administrative tasks such as setting up email accounts, phone lines, EHR access, and payroll enrollment.
• Maintain an Airtable‑based onboarding tracker, updating tasks in real time to meet deadlines.
• Lead 3‑hour live onboarding sessions covering company systems, EHR platforms, provider guidelines, and clinical workflows.
• Create provider directory profiles on platforms like Psychology Today before start dates.
• Introduce providers to supervisors, distribute supervision contracts, and handle follow‑up paperwork.
• Serve as the ongoing contact for provider questions about tools, tech issues, and operational workflows after onboarding.

Required profile

• 3–6 years of experience in onboarding, provider relations, healthcare operations, or a similar coordination role.
• Excellent verbal communication skills with the ability to lead structured, multi‑hour calls.
• Strong written English skills for professional emails and documentation.
• Highly organized, deadline‑driven, and able to manage multiple onboarding timelines simultaneously.
• Comfortable working independently in a fully remote, async‑friendly environment.
• Working hours aligned to Central Time.
