Spares Coordinator

About the role

Q-Sourcing, a manpower management solutions firm operating across East Africa, is recruiting a competent, skilled and experienced Spares Coordinator in Kenya on behalf of its client. The role manages the inventory, sourcing and availability of critical spare parts, tools and equipment for the efficient operation and maintenance of a dairy processing plant, ensuring they are tracked, stored and issued promptly through SAP to minimise machine downtime.

Key responsibilities

• Maintain an up-to-date inventory of technical spares, tools and machine components in SAP.
• Source and procure quality spares from approved suppliers while keeping costs efficient.
• Coordinate receipt, inspection, storage and issuance of spares through SAP.
• Keep the spares store organised, labelled and catalogued by type, criticality and usage frequency.
• Monitor usage trends and prepare re-order plans in SAP to avoid stock-outs.
• Carry out periodic physical stock counts and reconcile variances with SAP reports.
• Work with maintenance teams on equipment requirements and long-lead parts, and support the Factory Manager and Maintenance Supervisor.
• Record obsolete or slow-moving spares in SAP and follow up on supplier warranty claims.
• Raise material requisitions, purchase orders and procurement documents in SAP, and enforce health, safety and environmental standards in the store.

Required profile

• Diploma in Mechanical, Mechatronics, Industrial or Electrical Engineering or a related field.
• Specialised training or certification in inventory management, stores management or SAP.
• At least 2 years of hands-on experience managing technical stores or engineering spares in a manufacturing environment.
• Ability to read equipment manuals, technical drawings and spare parts catalogues.

Required skills

• Proficiency in SAP ERP (Materials Management and/or Plant Maintenance modules) for inventory management.
• Strong knowledge of mechanical and electrical spare parts and tools.
• Sourcing and negotiation skills, analytical thinking and good computer literacy (MS Excel, SAP).
